Introduction to Schedule Templates

Schedule templates are a powerful tool within Solv for accurately modeling your clinic’s workflow. These templates allow you to define specific scheduling configurations for different times of the year or operational scenarios, like flu season or holidays. You can create as many templates as needed and apply them to one or multiple locations.

Creating a Schedule Template

  1. Start by Adding a New Template:

    • Navigate to the schedule templates section.

    • Click on the option to add a new template.

    • You can create multiple templates depending on your clinic's needs (e.g., default, flu season, summer holidays).

  2. Name Your Template:

    • For example, name it something like "Edgewater Default Schedule."

  3. Assign Resources to Visit Types:

    • Assign your providers or medical assistants (MAs) to specific visit types.

    • Set the available days (e.g., Monday to Sunday) and the operational hours (e.g., 8 a.m. to 8 p.m.).

    • Select the visit types they can handle, such as urgent care or physicals.

  4. Doubling Throughput for Specific Visit Types:

    • To enhance capacity, you can add another resource (e.g., an MA) dedicated to a particular visit type, such as vaccines.

    • Assign this MA to specific days and times, thereby doubling the throughput for that visit type.

  5. Copying Provider Templates:

    • If you have a provider setup that works well, you can easily duplicate their template using the copy icon. This is useful when you have multiple providers with similar schedules.

  6. Adding Multiple Time Blocks:

    • You can also create multiple time blocks within a single provider’s template.

    • For instance, a provider might see only urgent care and physicals from Sunday to Monday and all visit types from Tuesday to Saturday.

    • Adjust the start times as needed, such as setting the start time to 10 a.m. on specific days.

  7. Finalizing the Schedule Template:

    • Once your settings are configured, click "Create" to save the template.

    • The new schedule template will appear in the list, where you can easily see an overview of the schedule.

Example: During flu season, you might experience a surge in patient volume, particularly on weekends. To accommodate this, you can create a separate schedule template specifically for flu season that increases provider availability on weekends. This template could include extended hours or additional staffing to ensure your clinic can handle the higher demand efficiently.

Managing and Toggling Templates

  • Toggle Between Templates:

    • Throughout the year, you can easily switch between different templates as required.

    • This flexibility is crucial for adapting to changes in provider availability or seasonal demand.

  • Adjusting for Short-Term Changes:

    • If a provider is unavailable for a week, you can simply turn off that provider within the current template without creating a new one.

    • Save your changes, and toggle the provider back on when they return.
