How to reconcile charges back into EMR

Last updated: October 14, 2026

When a patient pays through Solv, the payment is recorded in Solv. It may also post to your EMR automatically if payment posting is supported and configured for your EMR, payment type, and clinic. A successful payment in Solv does not, by itself, confirm that the EMR record has updated.

Check that the payment was collected in Solv

  1. Sign in to the provider app.

  2. Go to Payments → Reports.

  3. Select Payment reconciliation and choose the date range when the payment was collected.

  4. Review the transaction details. You can export the report as a CSV if needed.

The Payment reconciliation report shows successful charges in Solv, including payment amount, method, and source. It helps confirm what Solv collected, but it does not confirm that the payment was posted in your EMR.

Check whether the payment appears in your EMR

Open the patient’s account or visit in your EMR and check whether the payment is already recorded. Compare the available transaction details, such as the amount and payment method, with the Solv record.

If the payment is present in the EMR, no additional posting is needed.

If the payment did not post automatically

Automatic payment posting depends on your EMR integration, payment type, and clinic configuration. If your clinic is set up to receive payment-posting reports, Solv sends a secure email with a report of payments that could not be posted automatically and the reason for each failure.

For each item in the report:

  1. Find the corresponding patient and visit in your EMR using the details provided.

  2. Check whether the payment has already been recorded. Do this before making any changes.

  3. If the payment is not in the EMR, follow your clinic’s usual process to enter the payment using the verified transaction details.

  4. If you cannot match the report item to a patient or visit, or the reason is unclear, contact Solv Support before posting it.

Avoid duplicate entries or charges

Before entering a payment manually, confirm that it is not already in the EMR. Do not enter the same payment twice, and do not charge the patient again just because the EMR record has not updated. If the payment was collected in Solv but you are unsure whether it posted, ask Solv Support to help verify it.

When to contact Solv

Contact Solv Support through Live Chat in Solv Manage, or reach out to your Solv representative, if:

  • You expected a payment to post automatically but cannot find it in the EMR.

  • You expected a payment-posting report but did not receive one.

  • You cannot identify the patient or visit for an item in the report.

  • You are not sure whether automatic payment posting is enabled for your EMR, payment type, or clinic.

When sharing patient or payment details, use your organization’s approved secure channel.
